What to Consider When Choosing a Time Attendance System

Biometric vs card attendance, reporting that payroll can use, and the practical questions Malaysian businesses should ask before buying.

Match the capture method to the workplace

Fingerprint readers work well for office teams at fixed locations. Card or PIN terminals suit environments where fingers are dirty, wet or gloved, such as kitchens, workshops and warehouses, or where staff rotate through shared stations. Face-recognition terminals remove contact entirely and have become the default choice for many post-2020 office rollouts.

There is no universally best method. There is only the method your staff will actually use correctly at 8:55 in the morning.

Reporting is the real product

The terminal only collects data; the value is in the reports. Before buying, list what you actually need to see: daily attendance, late arrivals, overtime totals, per-department summaries. Check that the software produces these without manual spreadsheet work, and that it can export in a format your payroll process accepts.

Shifts, overtime and multiple sites

If you run shifts, confirm the system handles rotating rosters rather than fixed nine-to-five rules. If you operate several branches, look for centralised reporting so head office sees one consolidated view. Both are common requirements in Malaysia and both are worth testing with real scenarios during a demonstration.

Integration and support

Attendance data that flows into HR or payroll software saves real administrative hours, but integration only works between compatible platforms, so confirm this explicitly. Equally important is local support: a terminal that cannot be serviced quickly becomes a very expensive wall decoration.
