Sequence matters more than speed
Workplace preparation fails through ordering, not effort. Structured cabling and electrical work come before ceilings and partitions close. Network equipment and internet connectivity come before computers arrive. Access control is installed before badges are issued. Work backwards from the first working day and place every order against that timeline.
The physical layer: furniture and fittings
Desks, chairs, meeting furniture and storage should be confirmed early, because business-grade furniture often carries multi-week lead times in Malaysia. Measure the floor plan properly, including door swings and walkways, and plan the delivery for after renovation dust but before staff arrive.
The technology layer: connectivity, computers, security
Internet service installation is frequently the longest-lead item in a new office, so apply early. Wi-Fi access points, computers, printers, CCTV and door access should be installed, configured and tested before day one, not demonstrated to staff as an apology tour. Every device a new employee touches should already work.
The final week: test everything as a user
In the last days before staff start, walk the office as an employee would: badge in, connect to Wi-Fi, print a page, book the meeting room, find the washroom keys. Small failures found in this week are free; the same failures on day one cost goodwill you have not earned yet.
